In a gated community the agreement is only half the process. The association has its own move-in procedure, and tenants routinely get to the gate with a valid agreement and still cannot move in. Here is what to line up.

The association will want its own paperwork

Most apartment associations in this part of Bengaluru require a move-in form, a copy of the rental agreement, tenant ID, photographs, vehicle details for sticker issue, and often a refundable move-in deposit. Some require the owner to submit an NOC in person or by email. Ask your owner for the association's exact list before the move date — every community's is slightly different, and finding out on the day is how people end up with a loaded truck at a closed gate.

Maintenance — say who pays, and which kind

There are usually two things called maintenance: the monthly charge to the association, and the corpus or sinking fund. Custom in Bengaluru is that the tenant pays the monthly maintenance and the owner bears the corpus, but custom is not a contract. Write down which party pays which, and whether the monthly figure is included in the rent or charged on top.

Parking is a numbered slot, not a concept

Apartment parking is allotted, and the slot belongs to the flat. Put the actual slot number in the agreement, along with how many vehicles it covers and whether two-wheeler parking is separate. "One car park" without a number causes arguments with neighbours, not with the landlord.

Amenity access

Clubhouse, gym, pool and party hall access varies — some associations extend full access to tenants, some charge separately, some restrict it. If amenities are part of why you are renting there, confirm the position and have it reflected in the agreement rather than assumed.

Fixtures and the handover list

Apartments come with modular kitchens, wardrobes, geysers, fans, light fittings and sometimes appliances. Make an inventory at handover with the condition noted, and photograph everything. Attach it to the agreement. This single step prevents most deposit disputes we hear about.

Interior work needs permission

Most associations restrict drilling, structural changes and even working hours for any interior work. If you plan to fit anything, check the rules and get the owner's written consent into the agreement.
